How to add an email signature in Gmail
Gmail on the web takes a pasted rich signature without complaint, logo and links included. You set it up once, on a computer.
- ABOUT 2 MIN
- Web (any browser)
- Full HTML
- Logo & photo work
Step by step
6 steps- 1
Step 01 / 06
Copy your signature
In the builder, click Copy signature. That puts the formatted version on your clipboard, so don't paste it into a text editor first; go straight to Gmail.
- 2
Step 02 / 06
Open all settings
Open mail.google.com on a computer. Click the gear icon top right, then See all settings.
- 3
Step 03 / 06
Find the Signature section
Stay on the General tab and scroll down to Signature. Click Create new and give it a name, like “Work”.
- 4
Step 04 / 06
Paste it in
Click into the empty box on the right and press Ctrl+V (Windows) or ⌘+V (Mac). Your logo, colours and links should appear straight away.
- 5
Step 05 / 06
Set it as your default
Under Signature defaults, choose your new signature for For new emails use and, if you like, On reply/forward use. If you have several addresses, pick the right one in the dropdown above.

Step 06 / 06
Save, and test
Scroll all the way down and click Save Changes. Easy to miss, and without it nothing is stored. Then send a test email to yourself or a colleague.
P.S. Good to know
- Gmail allows up to 10,000 characters, and an embedded image counts towards that. Our images are links to hosted files and the HTML is minified, so you stay well under the limit.
- Your logo and photo are hosted online (that's how Gmail can show them), so don't delete them from the builder if you still use the signature.
- Using Gmail with several addresses (“Send mail as”)? Each address can have its own default signature.
Not working?
The most common problems, and what to do about them.
Gmail says my signature is too long. What now?
Gmail counts the hidden HTML, not the visible text, and stops at 10,000 characters. Copy the signature again with the Copy signature button (not from a sent email or Word), and drop an extra social icon or banner if it still doesn't fit.
My logo shows as a broken image.
Gmail needs images that live at a public web address. Ours do, but if you pasted from somewhere that embedded the image, it can break. Copy again from the builder and paste directly into Gmail.
Does this also add the signature on my phone?
Partly. The Gmail app for Android and iPhone has its own text-only “mobile signature”. According to Google, if you leave that empty, new messages from the app use the signature you set on your computer. Send a test from your phone to see how it arrives.
The signature doesn't appear when I reply.
Check On reply/forward use under Signature defaults, then Save Changes. In long threads Gmail sometimes hides it behind the three-dots button (“Show trimmed content”).
No signature yet?
Make one in two minutes.
Free, no account, no watermark. Copy it and paste it into Gmail with the steps above.
Kind regards,
