Email signature for healthcare practices

At a practice, the front desk, therapists and practice manager all email patients. A clear, shared signature makes sure patients always know how to reach you, and how not to.

Why it matters

What your signature needs to do

  1. 01

Point patients to the right channel

Regular email is often not the place for medical details or urgent questions. A short line pointing to the phone or a patient portal helps patients and protects your team.

  2. 02

    Opening hours prevent phone tag

Patients reply to appointment emails with questions. If they know when the phone is answered, both sides miss far fewer calls.

  3. 03

    One practice, one look

When everyone uses the same layout and colours, patients recognise your emails immediately and are less likely to fall for look-alike messages.

Frequently asked questions

Can patients email us medical information?

That's a decision for your practice and its privacy policy, not for a signature generator. Many practices ask patients not to send medical details by regular email and offer a portal or phone line instead. Your signature is a good place to say so.

Should therapists have their own photo in the signature?

It's a nice touch when patients see the same therapist at each visit. For a shared front-desk inbox, the practice logo alone is clearer.

How do we give the whole team the same signature?

Make one design, then use the team generator with a CSV of names and roles. Everyone gets the same layout with their own details.
